Patient Terms and Conditions
For Reflect Clinic Ltd
1. Introduction
These Terms and Conditions form the basis of the agreement between you (“the Patient”) and Reflect
Clinic Ltd when you attend consultations, undergo treatment, or purchase services. Please read them
carefully before proceeding.
2. Definitions
For the purposes of these Terms and Conditions:
- “Consultation” refers to an appointment arranged to assess suitability for treatment and
provide information and advice. - “Assessment” refers to an appointment to assess suitability for certain procedures.
- “Procedure” refers to any surgical or non-surgical procedure provided by Reflect Clinic.
3. Bookings and Deposits
Full payment is required when booking to secure a Consultation appointment.
A non-refundable deposit of £1000 is required to secure a confirmed Procedure date and time.
4. Payments and Fees
The Patient remains responsible for payment even where a third-party finance provider or insurer is
involved. Reflect Clinic reserves the right to cancel or postpone treatment where payment is not
received.
5. Cancellations and Refunds
Booked appointments may be subject to clinical preparation costs, administrative fees, and third-party
charges already incurred by Reflect Clinic. Therefore, the following charges may be made:
Cancellations by the Patient
- Consultations: If you cancel a Consultation, the Clinic will try to rearrange it to a convenient
time for you. However, if this is not possible, we do not refund any cancellations made by the
Patient. - Procedures:
a) More than 4 weeks notice: If you need to cancel or postpone your appointment, you must
notify Reflect Clinic via email at contactus@reflectclinic.co.uk and receive a confirmed email
from us. We will do our best to rearrange your appointment to a suitable date and time but if
this is not possible, Reflect Clinic will provide a 50% refund of your £1000 deposit within 5
working days.
b) 4 weeks notice or less: If you cancel within 4 weeks or less of your surgery date, the
£1000 deposit is non-refundable.
Cancellations by Reflect Clinic:
- Consultations: If Reflect Clinic cancels your Consultation, we will offer you alternative dates.
However, if these are not suitable to you we will offer a full refund. - Procedures: If Reflect Clinic cancels your Procedure for reasons beyond their control, they will
rearrange it with you. If the new date is not suitable, Reflect will fully refund your procedure
payment within 4 weeks from the cancellation date. - Non-compliance of Preparation by Patient.
If Reflect must cancel the procedure due to you not fulfilling your obligation to be ready for the
procedure, this is fully the responsibility of you the Patient and the policy outlined above for
Patient Cancellation will apply.
6. Prices
Prices discussed are subject to change without notice, but written quotations, once agreed, are
confirmed so that we are fully transparent to Patients for payment planning etc.
7. Reflection and Cooling-Off Period
For all procedures, Reflect Clinic encourages the Patient to observe a reflection period between
Consultation and Procedure. This period allows adequate time to consider and process the
information provided, to ask further questions, and make an informed decision without time pressure.
8. Procedures
Reflect Clinic reserves the right, at any time, to modify or discontinue our services (or any part thereof)
without notice at any time.
We shall not be liable to the Patient, or any third party for any modification, price change, suspension
or discontinuation of our services.
9. Patient Responsibilities
Patients must provide accurate, complete, and up-to-date medical information, including details of
medical conditions, medications, lifestyle and previous procedures.
Patients are expected to comply fully with all pre- and post-procedure instructions. Failure to do so
may affect treatment outcomes or result in cancellation of treatment.
This is very important for the Patient’s own safety and well-being.
10. Patient Suitability
Reflect Clinic reserves the right to refuse any Consultation or Procedure if the Patient is deemed
unsuitable in any way.
11. Aftercare and Follow-Up
Aftercare forms an essential part of treatment.
Any aftercare or follow-up appointments included in the treatment plan will be explained prior to
treatment.
However, additional aftercare or treatment outside the agreed plan may incur further charges.
12. Risks and Outcomes
All medical and cosmetic procedures carry inherent risks. These risks will be discussed during the
Consultation and consent process. Reflect Clinic cannot guarantee specific outcomes, and results may
vary between individuals.
13. Liability
Reflect Clinic and its clinicians will provide services with reasonable care and skill in accordance with
professional standards and are covered with Indemnity insurance.
14. Privacy and Data Protection
Reflect Clinic is committed to protecting your privacy.
Personal and medical data are processed and fully compliant with the UK General Data Protection
Regulation (UK GDPR) and the Data Protection Act 2018.
15. Governing Law
These Terms and Conditions are governed by and shall be construed in accordance with the laws of
England and Wales.

By attending a Consultation, Assessment or Procedure at Reflect Clinic, you confirm that you have
read, understood, and agree to these Terms and Conditions.
